How to keep your MTM Medical Aid list up to date by using the D.Com software from Datamax.

On a regular basis you should be checking the Medical Aid list in your MTM program with the updated list of Medical Aids as distributed by Datamax. The Datamax list can be accessed from your D.Com interactive software by clicking on the Destinations button & then printing the list as displayed.

Please take note that although the Datamax list indicates a “P” on the end of the Medical Aid code, this “P” does not need to be added to the Medical Aid codes in the MTM Program. eg. Discovery 125P when entered into the MTM program appears as Discovery 125.

The first thing to check is the Medical Aids that share a code eg. Gems, Primecure. (code 642) Make a note of these on your Datamax list as they can only be added once in the MTM program under a “group” name – that you can assign eg. Gem-prime.

Then check the Medical Aids that have changed name – but whose code remains the same. These codes can merely be edited, by double clicking on the Medical Aid name in the MTM program & editing the name.

Any new Medical Aids should be added to the list of Medical Aids in your MTM program by clicking on the add button & typing in the details

Medical Aids that have merged with other Medical Aids can be merged in the MTM program by clicking on the Medical Aid that should be merged with the existing Medical Aid. Eg. Medical Aid A 100 is now part of Discovery 125 – click on Medical Aid A and then click on the merge button and type in 125 – the code of Discovery. All patients who were on Medical Aid A will be changed to Discovery.

All invalid Medical Aids should be deleted from the list of medical aids in your MTM program. If MTM program displays an error that the medical aid can not be deleted due to it being used by an account number, this indicates that the information on the account number is no longer valid. Then the best solution is to merge these obsolete Medical Aids with the Private Patients- N/A code 0000, or to make a new Medical Aid called “CHECK with code CHCK”. These patients accounts must then be checked when they come in for their next treatment so that the correct valid Medical Aid details can be captured.

On completion of comparing your Datamax list with MTM Medical Aid list – the two lists should be nearly identical except for there being duplicate Medical Aid codes on the Datamax list that are listed as one group Medical Aid in your MTM program.
